Activity Log and Message Archive vs. the Notes Section
Objective
To understand and differentiate between the Activity Log, Message Archive, and Notes sections within a claim for effective claim management.
Key Steps
-
Activity Log and Message Archive
- Access the claim tab and open the desired claim.
- Locate the Activity Log and Message Archive on the left-hand side.
- The Activity Log and Message Archive serve as a diary for the claim, capturing automated system entries like disbursements, client additions, photos, etc.
- Entries such as sent SMS messages, completed action items, payment information, claim phase changes, etc., are automatically logged.
- To add a manual entry, click on the designated button and fill in the necessary details like entry description, date, public visibility, billable hours, claim activity event, etc.
-
Notes
- Notes are private internal memos within the company related to the claim file.
- These notes are not shared with clients, carriers, or any external parties.
- Use notes for information that is important for the team but not relevant to the claim itself, such as special instructions, sensitive information, personal details, etc.
- Mark notes as pending or private for easy identification and access.
Cautionary Notes
- Ensure that sensitive information is not included in the Activity Log or Message Archive, as these are visible to all authorized users.
- Double-check the visibility settings of notes to prevent any accidental sharing of confidential information.
Tips for Efficiency
- Utilize the Activity Log for day-to-day updates and automated system entries to maintain a comprehensive record of the claim's progress.
- Keep notes concise, relevant, and limited to essential internal information to avoid cluttering the claim file.
- Regularly review and update both the Activity Log and Notes sections to ensure accurate and up-to-date documentation of the claim.
