Before You Start
- You must have admin-level security clearance to manage users and roles in ClaimWizard.
- If you see the Gear Icon on the lower right-hand side, you have admin access.
- ClaimWizard's Business subscription includes comprehensive security and access controls, allowing you to limit what each user can see and do strictly.
Option 1: Restrict Access Using Roles and Security
Use this option when you want a user to keep logging in, but with limited capabilities.
First, review the permissions that are set on the user's account
- Sign in with an admin account
Make sure you are logged in as a user with admin or equivalent security privileges to access account settings and staff management. - Open Account Settings
- Click the gears icon on the left-hand side of ClaimWizard to open account settings.
Go to Account Summary to manage staff and roles.
Click on Permissions to see what permissions are assigned to the user. For example, if you want to understand what they can view or edit, search for "view" or "edit" in their permission matrix.
To change the permissions, locate the user under the star icon
- From the staff or user list, find the user whose access you want to change.
Open their staff record to review their current roles and assignments.
- Adjust their roles and permissions.
- Click on the user's name and navigate to Staff Administration
- Update their roles (e.g., adjuster, consultant, claim specialist, executive, office staff) to match the level of access you want them to have.
- Be especially cautious when assigning powerful roles, such as office staff, as these roles have access to all claims and clients.s
To continue the example of Steve, you could change their role from Adjuster to Sales Representative to restrict access to a view or read-only claims they are associated with
- To change access, click the green check mark, and it will turn to a red x
Scroll down to specialty roles and ensure the Sales Representative role has a green check (this permission level only has read-only access to claims they are associated with)
- Verfity
Navigate back to Permissions> Admin> Account Summary> Permissions
Option 2: Disable a User Account (Fully Block Access)
Use this option when someone leaves your organization or should no longer log into ClaimWizard at all.
- Open Staff Management
- In ClaimWizard, click the gold star icon to access staff-related tools.
- Click the staff icon and search for the user you want to disable.
- Open the staff member's profile
- Select the user from the search results to open their staff summary.
- In the staff summary, click on Staff Administration.
- Disable the account
- Locate the "account enabled" option in the staff administration area.
- Toggle the setting from "account enabled" to "account disabled."
- Confirm the change
- ClaimWizard automatically saves this change; the user will no longer be able to log in.
The user will now appear in the Inactive Staff section, so their historical activity remains tied to their name.
Important Cautions
- We do not recommend deleting user accounts: Deleting users can compromise historical records and accountability; disabling accounts is the recommended approach.
- Do not rename user accounts: Renaming accounts may interfere with compliance and tracking of who performed past actions.
Tips for Efficient User Management
- Periodically audit roles (especially executive or admin-type roles) to ensure users only have the access they need.
- When adding new users, assign roles carefully and verify that their permissions match their responsibilities.
