Use the Client Portal to give policyholders secure, self‑service access to limited claim information, documents, and status updates so your team spends less time on status calls and email.
Who can do this: Manager or Executive users with access to the Admin (gears) section and Portal Configuration.
Steps
Click the Admin (gears) icon on the left side of ClaimWizard to open the administration section.
Click Portal Configuration in the Admin menu to open the Client Portal options.
General tab – turn the portal on and configure access
Turn the Client Portal on or off using the portal enable/disable control on the General tab.
Review the client access instructions on the General tab to understand how clients will access the portal.
Copy the generic portal URL (for example portal.claimwizard.com) if you plan to send clients to the shared login page where they must enter your company code.
Locate your company code on the General tab, and note that it also appears on your Account Summary page. Clients need this code when using the generic portal URL.
Copy your company‑specific portal URL provided on the General tab if you plan to link from your own website; using this URL lets clients skip entering the company code because ClaimWizard already knows which company they belong to.
Appearance tab – brand the portal
Click the Appearance tab to customize the portal's look and feel.
Enter or update your company name as you want it to appear in the portal header.
Select your portal colors from the available options so the portal matches your firm’s branding.
Click Save on the Appearance tab to apply your branding changes.
Features tab – control what clients see and do
Click the Features tab to control which information boxes and actions are available in the Client Portal.
Review the always‑visible fields: loss address and general claim summary will always appear and cannot be turned off.
Turn Claim Phase History on or off depending on whether you want clients to see how their claim has progressed through internal phases.
Turn Settlement History on or off to decide whether settlement details (amounts and history) are visible to clients.
Decide whether clients can upload files by enabling or disabling the file‑upload option on the Features tab.
If client file upload is enabled, understand that uploaded files will appear in the claim’s Files section inside a folder named Files uploaded by policyholder, where staff can review, move to other folders, or delete them.
Remember that clients can only upload files; they cannot see other files already stored on the claim.
Portal Messages tab – customize client‑facing language
Click the Portal Messages tab to edit the status messages shown to clients.
Review the list of claim phases that map to the portal’s status messages.
Edit each phase name if needed so the portal uses the same plain language your clients hear when they call your office (for example, “Negotiation with Carrier” instead of an internal shorthand).
Edit the description for each phase to explain, in client‑friendly terms, what is happening at that stage and what the client should expect.
Click Save on the Portal Messages tab, so your customized names and descriptions appear in the portal.
Give clients access and confirm everything works
Open the client’s record for a policyholder who should use the portal and click Show Client Profile to view their account details.
Locate the client PIN in the profile section; this PIN is required for portal access.
Send the client their portal link, PIN, and claim file or carrier claim number using your preferred method (email template, letter, or website instructions) so they can log in.
Test the portal login yourself by visiting your portal URL in a browser and signing in with your company code (if needed), client PIN, and a valid file or carrier claim number.
Review what the client sees after login: loss address, claim summary, claim phase and settlement history (if enabled), and any messages or features you configured.
If something is too visible or not visible enough, return to Portal Configuration and adjust the Features or Portal Messages tabs, then click Save again.
What Your Clients Should See
After you complete these steps, your ClaimWizard Client Portal will be enabled and branded for your firm, with features and messages configured to match how you already talk to clients about their claims. Clients who receive your portal link, PIN, and claim number will be able to log in, see their claim overview and any enabled phase or settlement history, upload files if you allow it, and check status without contacting your team for every update.
